CLASSIFICATION- Exempt

REPORTING TO- Reports Directly to Operations Manager 

SUMMARY/OBJECTIVE

The project administrator knows how to effectively strategize a plan and, monitor projects. The Project Administrator will ensure adherence to set timelines and budgets and frequently report on progress. Project Administrators are organized, experienced candidates with strong interpersonal skills. They provide administrative support to project management, project executives and the overall operations team. Project administrators are expected to maintain neat, orderly, complete legal documents and project files. They are expected to be flexible in assisting other team members as needed.

ESSENTIAL FUNCTIONS

Assist project manager in all administration functions and processes.

  • Prepare, organize, and distribute all necessary project materials
  • Generate, process, administer, log and/or track Purchase Orders.
  • Submit Request for Information (RFI), and Sample Submittals.
  • Attend all project meetings and take meeting minutes (JIP Meetings, Kickoff Meetings).
  • Collaborate on project presentations
  • Analyze project data and produce progress reports (JIP Meetings)
  • Foster positive and productive client relationships
  • Manage Close Out Documents.
  • Learn Company Software
  • Manage Submits and Submittal Logs
  • Project Administrator must work a minimum of 12 consecutive months in this roll prior to advancing to the Assistant Project Manager Level – 1 Status.
  • Will report to work in what is considered proper jobsite attire and represent U S Architectural Glass and Metal, Inc. (USAGM) in a professional appearance and manner.
  • Will enforce the (USAGM) mission statement.
  • Will review and abided by (USAGM) employee handbook.

SUPERVISORY RESPONSIBILITY

This position has no supervisory responsibilities.

WORK ENVIRONMENT

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

PHYSICAL DEMANDS

This is largely a sedentary role; however, some filing is required. This would require the ability to open filing cabinets and bend or stand as necessary. 

POSITION TYPE/EXPECTED HOURS OF WORK

This is a full-time position. Days and hours of work are Monday through Friday, 8:00a.m. to 5 p.m. This position occasionally requires hours outside of normal business hours as well as weekend work.

TRAVEL
No overnight travel is expected for this position. There may be occasional local day travel.

EDUCATION AND EXPERIENCE 

  1. Minimum of a High School Diploma or GED required 
  2. 3-year experience in an office and/or administration role within construction industry
